Adding Insurance to a Patient’s Profile

This process explains how to add, verify, and manage insurance information within a patient’s profile in Medflow IO.

Objective

To ensure each patient’s insurance details are properly recorded and verified, enabling accurate billing and claims processing.

Key Steps

Access the Patient’s Profile

  1. Navigate to the Patients page.

  2. Select the patient whose insurance details you want to update.

  3. Locate the Insurance Section

  4. Scroll to the bottom of the patient’s profile page.

  5. Find the Insurance section.

Add Insurance

  1. Click the Add Insurance button.

  2. A form will appear where you can add Primary, Secondary, or Tertiary insurance information.

Verify Insurance

  1. Once the form is completed, click the Verify Insurance button.

  2. Initial verification will run automatically.

  3. Verification details will appear at the bottom of the insurance form.

Review Verification Details

  1. Check the status of the insurance (active, inactive, pending).

  2. Review benefits and coverage information if the insurance is active.

Add Additional Insurance (if needed)

At the bottom of the page, you can click Add Insurance again to enter another policy (e.g., secondary or tertiary).

Save Updates (This is necessary).

Once all updates are completed, click the Update button at the bottom of the page. This serves as the save button for the entire patient profile. If not clicked, the changes will not be saved.

Tips for Efficiency

  • Always verify insurance immediately after adding it to avoid claim rejections later.

  • Enter Primary insurance first, followed by Secondary and Tertiary if applicable.

  • Keep insurance cards on hand to minimize data entry errors.

  • Use the Update button frequently when making multiple edits to prevent accidental data loss.

Important Notes

  • Insurance verification results may vary depending on payer system response times.

  • Double-check spelling of subscriber name, ID, and policy number before submitting.

  • If insurance is inactive or coverage is limited, flag the issue for the billing team.

  • The Update button is mandatory. Without it, no updates will be stored in the patient’s profile.
