Steps to add internal or provider notes to an existing appointment.

Objective

This guide explains how to add appointment notes that help staff and providers track patient care and scheduling details.

Key Steps

Step 1: Access Appointment Details

  • Click on the appointment to open the details view.

  • Open the appointment settings.

Step 2: Create Notes

  • In the Appointment Settings, open View Notes

  • A box will be provided for you to create the note.

  • Type in relevant notes such as:

    • Patient-specific instructions

    • Provider preferences

    • Billing reminders (e.g., self-pay confirmation, missing documents)

  • Once done, Click on Add Note to Appointment to save the notes.

Step 3: Verify That The Note Has Been Added

  • Refresh the page and open View Notes to ensure that the note is added.

Important Notes

  • Notes are internal and should not be visible to patients.

  • Always use clear and professional language.

  • Include DOS (Date of Service) in notes if missing from the appointment details.

Tips for Efficiency

  • Add notes at the time of scheduling to avoid missed details.

  • Standardize note-taking formats for consistency across the team.
