Understanding Appointment Statuses in the Portal

Each status in the portal shows where an appointment stands and what action, if any, is needed. Here's a quick guide:

Needs Review (Yellow):

  • This means the appointment is waiting for benefits verification and requires manual review.

  • Medflow IO will verify the patient's insurance information, so no further action is needed from you at this time.

  • Quick Note: Eligibility and verification checks are only run within 14 days of the date of service (DOS) to ensure the most accurate and up‑to‑date insurance information.


Pending Auth (Purple):

  • An insurance authorization is required for this appointment.

  • Medflow IO has already submitted the authorization request and is currently awaiting a response from the payer.

  • Authorizations can take up to 30 days after submission

  • No further action is needed on your part at this time—we’ll update the appointment status once the authorization is approved or denied.


Verified (Green):

  • The insurance has approved the submitted codes, and the patient’s coverage meets your group’s protocols.

  • Once the procedure is complete and the patient has been discharged, Medflow IO will place the order for the products.


Verify Address (Orange):

  • The patient’s demographic information includes a PO Box, but a physical address is required because we cannot ship medical supplies to PO Boxes.

  • Therefore, Medflow IO is attempting to contact the patient to obtain this information.

  • If your group is able to get a valid physical address, please send the updated details to [email protected].


Denied (Red):

  • This means the appointment was not approved.

  • To find out exactly why it was denied, open the appointment and click “Show All Notes and Comments.”

  • Most often, this is due to insurance denying the submitted codes. In many cases, the patient’s out-of-pocket (OOP) responsibility falls outside of range for the practice’s coverage rules.

  • As a result, the patient will not receive the products until the issue is resolved, since orders cannot be placed while the appointment is in Denied status.


Missing Information (Orange):

  • This appointment is currently labeled as “Missing Information,” which means some key details—such as insurance information, procedure codes, or patient demographics (e.g., DOB, ID)—are missing or invalid.

  • Please check the “Show Notes” tab to see exactly what information is needed.

  • Once you have the updated details, send them to [email protected].

  • After you send the missing information, Medflow IO will review it and update the patient’s appointment details accordingly.

  • Once the information is confirmed in our system, we will update the appointment status or reverify/resubmit the appointment—this will indicate that we’ve received and processed the information.


Review Patient Cost (Purple):

  • This status means the appointment is paused while patient costs (copays, coinsurance, deductibles) are reviewed, as the group prefers to discuss costs with the patient before considering auto-denial.

  • If the patient agrees to receive the products, the status is then changed to Verified with a note added in “Show Notes/Comments.”


Cancelled (Orange):

  • The appointment was cancelled.

  • In addition, if a duplicate appointment was created by mistake, this is the preferred status to use—it keeps everything clean and avoids confusion.


Ordered (Green):

  • The appointment has been finalized, and any necessary medical products have already been ordered.

  • Unless you’re told otherwise, no additional steps are needed.
